Have you been accepted as employee, guest or intern at the UMC Utrecht?  The International Service Desk (ISD) will support you with all matters relating to your arrival and stay in the Netherlands. Please respond quickly to any emails ISD may send you. 

International Service Desk is part of the Utrecht University (UU) and also provides services to international employees of UMC Utrecht. UMC Utrecht will send your contact details to ISD. 

Please download the brocheres below with information regarding your arrival and stay in the Netherlands, living arrangements, opening a Dutch bank account, registration with the municipality and health insurance.

If you are staying in the Netherlands for a longer period of time and you are working for a Dutch employer, you will have to open a Dutch bank account. Employees with a European nationality can opt to have the university pay their salaries into a bank account in their home countries. As soon as the municipality will have issued you a BSN (burgerservicenummer), you can go to any bank and open a bank account. Please inform the ISD of your bank account number as soon as possible so we can ensure that your salary will be paid out to you.

Generally, the UMC Utrecht has to deduct the wage levies on wages or benefits. Wage levies is the collective term for wage tax, social security contributions, employee insurances premiums and the income- dependent Health Care Insurance Act contribution. The UMC Utrecht must register your personal data for this deduction. With this form, you can indicate whether you prefer the UMC Utrecht to apply the wage tax credit. The UMC Utrecht will then deduct less wage tax / social security contribution of your salary.

In case you do not provide your personal data or provide them with error, the UMC Utrecht will be obliged to the highest tax rate. In addition, the UMC Utrecht will be obliged to calculate the (non-refundable) employee insurances premiums and the income-dependent health insurance contribution based on your entire salary. This also applies if you do not provide a valid ID.

Everybody who will be living in the Netherlands for more than four months, needs to obtain a citizen service number (to apply for health insurance and to open a bank account, among other things). It may take some time before a BSN number (burgerservicenummer in Dutch) is issued by the municipality. We advise you to bring some cash with you to bridge the first two or three weeks in the Netherlands. 

Within five days after your arrival you have to go to the population office (town hall or municipal office) in the town where you have come to live to register as a citizen of that town. This action will start a process that ultimately leads to a Dutch Citizen Service Number that will be sent to your home address. You need an official address to register with the municipality, so be careful with subletting.

Everyone living in the Netherlands is required by law to obtain adequate health insurance. The required type of health insurance depends on several factors, such as whether or not you receive an income from UMC Utrecht.

Every employee of the UMC Utrecht is given a UMC-pass on the first working day, including employees with short term contracts or flex staff, students, volunteers and interns. You can get yours at the Facilitary desk at H.01. Bring your passport. Everyone who has a UMC-card/pass, must wear it visibly and must show it upon request by the Security. The UMC-pass is personal and may not be used for other purposes than personal use.

Via the staff portal, you can handle many affairs such as requesting for leave, viewing your salary slips, declaring costs, etcetera. 

You log in with your user name and password. The staff portal can only be used, if you are logged into the UMC Utrecht network. This implies that in most cases employees can only use the staff portal when they are at work in the UMC Utrecht. You can apply for a token to work from home en download an app.

/ Criminal Records Check (if applicable)

If you are not residing in The Netherlands you have to request the Certificate in your country of origin. If you are currently residing in The Netherlands and you are in the possession of a Dutch BSN number (Dutch citizen service number) you will receive an email in your private email box from Justis (Ministry of Justice and Safety) with a link for requesting the Certificate of Conduct (Dutch: VOG).

After receiving the VOG you have to send the original Certificate of Conduct (Dutch: VOG) to the following email address: POServiceCentruminternationaal@umcutrecht.nl and put the original document in our letterbox located at H.01.311.

Please note: you can claim back the costs incurred for applying for your Certificate of Conduct (VOG) as soon as you are employed.

For our English speaking new employees we have created an E-learning ‘Quality and Safety’ as a central introduction and there is a subsequent decentralized training programme with the department or division. The E-learning and the decentralized training programme constitute a unity.

As soon as you have received your login details, we ask you to enter a few data in the staff portal. For example, your bank account number! You can do this only when you are at the UMC Utrecht. If you need help or do not have access to a computer, contact the ICT Helpdesk 088-7558990.
